Auckland medical journey coordinators: define the driving task before an enquiry

Prepare a non-emergency driver enquiry in Auckland: define the provided car, driving task, support responsibilities, appointment timing and handovers.

Original planning aid: a car-driver enquiry does not establish medical transport capability.

A clinic administrator or community organisation may need to coordinate a car journey around an appointment. Before asking for a driver, distinguish the driving task from the support a traveller may need before, during and after the journey. A clear destination alone is not a complete brief.

Drivers on Demand (DOD) is preparing a marketplace connecting customers and businesses with verified independent drivers who drive customer- or business-provided eligible vehicles. Auckland services are coming soon, subject to product alignment and readiness. Bookings are not open. Medical-related assignments have not been confirmed as accepted launch services. This guide is for non-emergency enquiry planning and does not offer ambulance services, clinical care, patient handling or specialist medical transport.

Start with the actual driving task

Identify who provides the car and can authorise its use. Record its registration, make, model and transmission, the pickup location, destination and intended finish point. Explain whether a passenger will travel and whether the enquiry concerns an empty vehicle movement or a journey with a traveller.

Read DOD’s customer information before preparing an enquiry. Eligibility, the applicable licence and service arrangements, and insurance permission for the actual driver and use must be established for the proposed assignment. This article does not confirm any of those matters or interpret a policy.

Make support responsibilities explicit

Ask the coordinator to establish whether the traveller needs any assistance that goes beyond driving. If there are requirements for transfers, lifting, supervision, clinical monitoring or specialist equipment, organise a suitable provider through the responsible care team. Do not assume that a verified driver is qualified or equipped to provide these services.

Where a companion is required under the traveller’s arrangements, establish who arranges that person and where they will meet. Do not use a driver enquiry as a substitute for assessing the journey’s suitability. DOD’s final service criteria must support the complete proposed assignment before it can be considered.

Plan the return as a separate decision

An appointment start time does not tell you when the traveller will be ready to leave. Prepare a realistic arrival target and identify who will communicate a changed finishing time. Avoid assuming that a driver will wait indefinitely or that a return journey is automatically included.

The arrival-time planning guide helps structure the outward journey. The coordinator should also identify who will receive the traveller at each end and who has authority to change the plan. Keep the vehicle handover separate from any care handover.

A practical enquiry brief

PrepareQuestion to resolve
VehicleWhich eligible car is provided, and who authorises it?
ScopeEmpty car movement or passenger journey; what tasks are requested?
SupportWho assesses suitability and arranges any required companion or care?
TimingArrival target, uncertain finish time and separate return plan
ContactsNamed coordinator and receiving person at each end
Vehicle handoverKeys, authorised release and final parking location

For example, an organisation might ask whether a driver could move its ordinary car between two offices connected with appointment coordination. That hypothetical enquiry is different from transporting a person who needs specialist assistance. Neither example confirms DOD acceptance or availability.

Keep enquiry notes focused

Describe practical arrangements without adding a diagnosis or detailed medical history to general driver notes. Use the organisation’s approved process to determine what information is necessary, who may receive it and how it should be shared. Avoid putting sensitive documents, access credentials or full patient lists into a general enquiry.

The pickup-notes guide offers a useful starting point for concise location instructions. The business vehicle handover guide covers release and receipt of the car.

During prelaunch, contact DOD for general questions about future arrangements. An enquiry does not reserve a driver or establish acceptance of medical-related work. For a journey needed now, arrange an appropriate available service through the responsible coordinator.
